[KMail] Email Archive Functionality

Sun Mar 22, 2009 8:24 pm
Currently, KMail has no built-in archive functionality.

Without archive functionality, no convenient method exists to archive/backup old emails.

Please implement archive functionality for KMail. This functionality could, but does not have to, be similar to MS Outlook archive functionality.

Ideally such functionality would include:

  • Automatic/manual archiving of emails older than *time period*
  • Moving archived email to another directory or storage medium
  • Ability to view/hide (open/close) the email archive
  • Ability to move (restore) archived email back to the primary email directory

Other thoughts?

I have KMail 1.11.1 (from Kubuntu experimental repositories)

There is "Expire".

Right now there is no automatic archiving, but there is manual.

"Moving archived email to another directory" - works, "or storage medium" - not yet.

# Ability to view/hide (open/close) the email archive
# Ability to move (restore) archived email back to the primary email directory
Agree.

"Expire" essentially deletes the email, right? Deleting email would be counter-productive for archiving purposes.

Manual moving of emails (that is, the mail files, not the email messages from within KMail) from the default directory to another directory is cumbersome and unintuitive.

I don't think that either of these alternatives meets the functionality requirements for email archiving.

I agree with you, there is more to be done.

It can move message to other folder, and it can delete message...

Idea got my vote.

You can configure the Expire action, for example "move to folder"

It is certainly true that you can set a folder to expire read/unread mail after X [units of time], and that the expiry action can be set to delete or to "move to folder"; however, this process is painfully manual.

If I want to maintain my folder structure, into which I sort emails according to a rather complex set of filters, I have to re-create those folders *manually*, and then set each folder to expire and to move email to the corresponding "archive" folder.

What would be more ideal would be able to have a few more options on "Inbox" (or, I suppose, any other folder), in addition to existing options:

1) Expire read/unread mail older than [date]
2) Expire all sub-folders
3) Maintain folder structure (when expiry action is set to "move to folder")

Also, being able to set the location of the expiry folder (e.g. other location on same drive, other drive, removable storage, etc.) would be really nice.

Hopefully the suggestion is a bit more clear now. I greatly appreciate the feedback!
